What’s New in EZLynx 4.17.01

In 2017, we continue to add value for our customers by aggressively enhancing our products and features.  Our first release of the year is coming to you on January 26th.

  • Consumer Quoting Enhanced Lead Captures
  • Client Center Gets a New Modern Look
  • EZLynx Accounting GL Interface for QuickBooks Online (BETA)
  • EZLynx Accounting Billing Company Changes (BETA)
  • Customer Age Report
  • Proposals

Consumer Quoting Enhanced Lead Captures

EZLynx Consumer Quoting is already a great tool that allows consumers to self-enter the majority of their risk information, but requiring everyone to complete the full form is counter-productive sometimes. People are busy and often don’t want to spend time completing a long form. EZLynx Lead Portal is a new feature available for new and existing Consumer Quoting portals.

It collects basic lead info (name, phone, email), immediately creates a personal or commercial applicant account in EZLynx, but makes home and auto quoting an optional part of the consumer’s process.

  • Quickly capture leads on your website.
  • Capture leads for any line of business.
  • Custom questions, regarding line of business for example, are coming soon.
  • Advanced integration options for using a single portal in multiple places.

Client Center Gets a New Modern Look

Over the next few weeks, the Client Center is rolling out a new, clean and modernized look. This update is the first in a series planned for Client Center in 2017, to make it as beautiful as it is useful to your customers and your agency!

  • More modern, neutral appearance.
  • Fully responsive for an optimal experience on all devices.
  • Improved iframe support.

Customer Age Report

You’ll love the new Customer Age Report because it retrieves applicants and co-applicants of designated ages.  This is very useful for email marketing campaigns – target the people who are most interested in a specific message.  For example, are 20-year-olds interested in life insurance?  Probably not.  You’ll sell many more life policies to people 50 and over. Notable filters include:

  • Applicant Type – active, inactive, prospect.
  • Relation – applicant or co-applicant.
  • Birth Month – choose last, current or next.
  • Age – select all or any combination of ages between 14 thru 100.
  • Manage Columns – select columns to display on the report.

NEW Support Portal

We are excited to roll out our new Support Portal!  Providing our customers with an excellent EZLynx experience is our number one goal. You can now filter by date range to show any activity or open tasks during a specific time period.

  • Ability to view completed tasks by user.
  • View percentage of tasks completed on time or completed late by user.
  • View all open tasks sorted by due date; either overdue, due today or upcoming.

EZLynx Accounting Branch Support

(Rolling out by end of year)

  • New Permissions and Settings
  • Branch support for Receivables
  • Branch support for Payables
  • Branch support for General Ledger postings
  • Branch support for Reporting

New Permissions and Settings

With the addition of branch support to EZLynx accounting, you are able to determine which users can have access to the various accounting functions at their respected branch or even at other branches.  This allows for branch-to-branch interactions.  The assignment of permissions can be easily handled through the newly designed Users tab in the configuration section in accounting.

We have also redesigned the System Settings tab by adding an ‘Agency’ tab (for the main branch to set system settings for all of their branches) and a ‘Branch’ tab for the individual branches of the organization to set their specific settings.  On the ‘Agency’ tab, users at the Main Branch can set the overall settings for the organization.

On the ‘Branch’ tab, the user is able to set the setting specific to the individual branches, like their logo, company information (addresses), settings for invoice emails and invoice memos.

Branch Support for Receivables

You are now able to select branches for adding receipts, creating deposits, and receivable write-offs.  For those in the organization with access to all branches, they will be able to select from all the branches of the organization.  However, those in the organization who are limited to one branch, they will only see that branch in the dropdown. The same applies for the creation of receipts.

We have also redesigned the Receipt and Deposit overview screen to allow you to filter the pages by branch to better organize your organization’s transactions and postings.

Branch Support for Payables

Branches have been integrated into our payable features in EZLynx and you are now able to select branches for AutoPay and adding of Checks.  On the AutoPay screen, you are now able to filter the payable items by branches.

When adding a check, you now have the ability to select which branch the check is being generated from and the branch bank account.  If you have permission to view all branches, then you will be able to select any of the branches for the organization.  If your permission is limited to one branch, then you will only be able to select your specific branch.

We have also added a branch column on the Check screen to make it easier for you to sort the organization’s checks by branch. If you have access to all branches in your organization, then you will be able to view all the checks created in the organizations.  If you are limited to one branch, then only checks for that particular branch will appear.

Branch Support for General Ledger Postings

With this round of enhancements, you are also able to view branches on the GL posting screen in order to better organize the organization’s branch postings.  This also includes the addition of branch information on the GL exports in order for you to be able to integrate your branch configuration with QuickBooks. You are also able to create a journal entry for single branch or you can create a journal entry for two branches to create clearing postings for inter-branch payments.

Branch Support for Reporting

No business would be complete without accurate reports.  Accurate reports enable you to better manage and predict your organizations position in the market.  With the addition of Branch Support for EZLynx Accounting, we have overhauled our reports in accounting to include a branch filter.  You are able to group posting in the reports by branches and even exclude some branches from reports in order to limit the data outputs.  These enhancements will let you track productivity across your organization and gain a better insight as to how each of your locations is performing.  The below reports now support Branch data.

  1. Aged Receivables Report
  2. Cash Receipts Report
  3. Check Register Report
  4. Deposit Summary Report
  5. Direct Bill Cash Report
  6. GL Postings Detail Report
  7. Invoice Summary Report
  8. Line Item Detail Report
  9. Payables Worklist Report
  10. Premium Trust Report

  12. Production by Writing Company Report

Leverage EZLynx Reporting for your Email Marketing Campaigns

Get ready for our upcoming update to EZLynx Email Campaigns in the next few weeks, which includes a completely renovated process for segmenting your existing data for bulk email blasts.

We have been very pleased with the extensive enhancements that have been made so far this year to EZLynx Reporting; so much so that we felt the power of our reporting engine far outstripped our separate email campaign list builder.

As a result, this upcoming update will replace the existing list builder with Saved Reports from EZLynx Reporting. Take advantage of the powerful capabilities of our reporting engine to segment your data using both simple or highly complex filters. Once you have saved the report, it will be available for you to use within EZLynx Email Campaigns, which is part of our Communication Center bundle.

When you start a new campaign, your first step will be to name the campaign and select your recipients. You will be able to manually add individual recipients, select from your available Saved Reports, or choose from one of your static lists that you may have created from within EZLynx Retention Center or from the old list builder tool.

EZLynx Email Campaigns - Saved Reports

Your old lists will still be available to use, but any new or future lists will have to be created from within EZLynx Reporting as a Saved Report.

By making it possible to use our reporting engine to segment your data for Email Campaigns, we have brought a new level of accuracy to your email marketing. We are also excited about the new possibilities it brings, as there are many more filter options available in EZLynx Reporting than we had in our previous list builder.

This Update is Only the Beginning

While this update allows you to use your Saved Reports for campaigns, those campaigns are still using a static version of the report at the time you scheduled the campaign.  While not a big deal for short-term campaigns that are sent immediately, if your campaign has steps that are scheduled throughout the year, your list could get seriously out of date by the time the campaign finishes.

This has always been a problem for any email campaign service that relies on saved or uploaded lists, but we are excited to announce that our Email Campaigns update later this year is going to take your static lists and make them dynamic, allowing you to run Drip Campaigns using your Saved Reports and have those campaigns automatically update in real time before each email is sent.

Imagine being able to have a campaign that sends an email to your prospects every 3 months and automatically removes those recipients that become customers as a result. Schedule a recurring, long-term cross-sell campaign to all your customers that have an active homeowners policy but no auto policy and rest easy knowing that our system will automatically add or remove recipients to the campaign based on whether or not they still meet that criteria. The possibilities are endless, and this is just one of several very exciting enhancements planned for EZLynx Communication Center this year!

Retention Center is now available for branch organizations!

EZLynx Retention Center addresses the daunting task of renewal management. With Retention Center, you no longer wait for your customer to call and complain about rate hikes at renewal. Instead, our system will identify on a daily basis those customers that you are most at risk of losing so that you can focus your efforts in the right place. Building on the EZLynx Policy Compare feature, the Retention Center analyzes your customers’ policy information, so you can proactively communicate your recommendations – reinforcing your agency’s value.

For agencies that spend a lot of time creating certificates, this is a great new enhancement that allows agency customers to generate their own certificates from their Client Center account.

Email Notification Preferences (Self Admin)

By default, the user Assigned to the applicant in EZLynx is sent an email for Client Center activities. We recommend adding at least one additional email to receive notifications in order to avoid tasks falling through the cracks; for example if the Assigned to user is absent or leaves the agency.  The copied person can assure that Client Center requests are reassigned or completed.

An admin can update Email Notification Preferences for Certificate Self-Generation:

  1. Hover over the Settings icon, select Client Center.
  2. Click Email Notification Preferences
  3. Scroll down to New Certificate Holder Added.
  4. Set who will receive an email whenever a customer adds a New Certificate Holder to a Master Certificate in the Client Center.
    • Select either Assigned User or Specific User.
    • Add any additional emails in CC: or BCC: fields.
  5. Click Save Changes.

To enable a Certificate Master:

  1. Go to the applicant’s Documents tab.
  2. Locate the Certificate Master, at the far right click Actions, and select Client Center.
  3. Click the Enable button.
  4. Check box to accept responsibility.

The Policy Transactions page has been given a facelift with a new look and enhancements for quick assessment and management of policy transactions. You can now delete unnecessary records too.

Our new unmatched policy tab provides intelligent suggestions for matching policies based on policy number, LOB, carrier, and applicant information. The new policy search allows you to promptly locate an applicant, match to an existing policy, or create a new one without leaving the page! One click and you can create a new applicant from information contained in the download. With the enhanced policy transactions page, managing carrier downloads is a breeze!

  • View the EZLynx Policy Transactions Page Guide here
  • New Actions button
  • Updated filter panel
  • Unmatched policy transaction tab
  • Simple search feature expedites matching and creating policies
    • Search applicants or policies
    • Create new policy or match to an existing one

New Actions Button

Perform 3 tasks with the new actions button:

  • Export to Excel
  • Edit Columns
  • Select Transactions to Remove

  • Export to Excel
    • By selecting Export to Excel, users can download their policy transactions list to Excel for better sorting.
  • Edit Columns
    • Users have a friendlier column selection editor, which includes an option to re-arrange the columns into a personalized order.

  • Remove Transaction (Unmatched tab only)
    • Users can now remove selected transactions, one at a time or in bulk.
    • From the Actions menu, choose Select Transactions to Remove.
    •  A column of check boxes appear at left of the Status column.  Check all transactions to delete and click Remove Selected Transactions.  Or, cancel the Action by clicking Cancel Transaction Removal.

New Filter Panel

Filter options now appear in a panel on the left side of the screen for static viewing. The filters are intuitive; information automatically updates as soon as a new filter is set. The policy and applicant search, date types and ranges are now included in the panel to the left.

Unmatched Transactions Tab

To make managing unmatched transactions easier, we’ve added a tab specifically for transactions that don’t automatically match to a policy or applicant when entering EZLynx.

Expand any record and either match to an existing policy or create a new one! Use the arrow on the left of any transaction record to expand to the potential matches. These are applicants or policies that may match the new transaction but need your review. This process detects subtle policy number variations that may occur, for example at renewal.

Find Existing Account or Policy

On occasion, possibly for a New Business transaction, the system may not be able to locate an applicant match even though the applicant exists in the system. Use the Search button to find an existing customer or policy.

Create New Account & Policy from Transaction

If you have not added the applicant to EZLynx yet, simply select “Create new account and policy from transaction,” at the top of the screen. This allows you to quickly add the personal or commercial account and policy to your management system!

Multiple LOB Proposal

The Proposal feature is accessed from an applicant’s Documents tab. Proposals can be created with a single Line of Business or with lines. Choose from existing applications or policies associated with each line of business.

To create a multiple LOB Quote Proposal:

  1. From applicant’s Documents tab, click Add at top right, and select Quote Proposal.
  2. At left, select the multiple LOBs one-by-one.
  3. For each LOB, select an application or policy from correlating dropdowns.
  4. Click Create Quote Proposal button, and the page with proposal tabs opens.

  • Save proposal as an editable Microsoft Word or non-editable PDF file.
  • Although prefilled from application or policy, proposal is still editable; however, edits do not change the application or policy.

  1. Hover over the Settings icon, and select Product Settings.
  2. At the Product: eSignature page, search users by name or username, then click Add.

Client Center 2.0

Updated Login Process

This latest update to Client Center brings an enhancement to the login process for your clients.  Your clients will continue to initiate the login process by providing the email address that is associated with their account. However, if the email address is valid, the client will receive a 6-digit validation code by either email or SMS Text Message.  The client will enter the validation code right there on the login page to complete the process.

Multi-Account Access

For clients that are associated with multiple applicants, these users will no longer be excluded from Client Center access. This will be especially useful for Commercial accounts. Once the client has successfully validated their identity, these users will now see an account selection screen that will allow them to navigate between the accounts for which they have been given access.

Account Access Controls

Agents can now navigate to the Contacts page for a particular applicant and choose the Edit option for any Primary Applicant, Co-Applicant, or Contact that exists in the list.  Within the Edit window, there is a check box that can be toggled to disable or enable that particular contact from being able to login to Client Center.

By default, Primary Applicants and Co-Applicants are enabled for Client Center. Other contacts, however, have to be manually enabled by the agent.

Client Center Settings

Don’t forget, if you’re an administrator at your agency and you do not have the Client Center option in your Settings menu in EZLynx, be sure to reach out to your support rep so that they can turn this feature on for you. This new menu gives administrators the ability to control the notification and task creation defaults for Client Center for your agency.

EZLynx Rating Engine

We have made a few enhancement to our flagship product, EZLynx Rating Engine, including an updated application process to help track and receive the best quote results.

  • We’ve introduced a message box to confirm the applicant’s birth date for more accurate reporting and rating.
  • When adding additional drivers, there are now two additional options; “Non Rated” and “Never Licensed”.
  • As an improvement to the Incidents tab, the number of violations that can be entered is increased to 10 per driver. Also, when answering “Vehicle Involved”, it is now optional to specify which vehicle.
  • The ability to receive quotes for 2017 models.
