EZLynx Unveils Automation Center for Independent Insurance Agencies

Unveiled at the AgentLynx 2018 User Conference in San Diego, EZLynx Automation Center offloads an agency’s important — but frequent and repeatable — tasks to the EZLynx Workflow Engine, freeing up an agent’s time for higher value activities like finding and focusing on new sales opportunities.

Automating important agency tasks not only frees up an agent’s time, but it also establishes best practices and a means to ensure that these practices are followed each and every time.

“Automation Center is like adding a fleet of employees to your agency,” said EZLynx Product Manager Derek Armentrout. “This solution doesn’t just make an agency more efficient, it also makes an agency more effective. Independent insurance agencies understand the value of their interactions with clients, and they are clamoring to do more of it, and better. Automation Center lets agents take a set-it-and-forget-it approach for many of the personal touches that mean so much to their clients.”

For the initial roll-out of the product, Automation Center will focus on advancing and strengthening communications with customers. It will also define agency workflows through automated tasks, addressing a list of the more frequent and common agency management efforts. Future plans for the product include a greatly expanded list of possible automation actions, interfaces to other systems, and virtual agents that can monitor customer communication channels to respond automatically or initiate custom workflows.


EZLynx Announces Insurance Industry’s First Agency Management System for Market Access Providers

Announced at the AgentLynx 2018 User Conference in San Diego, EZLynx revealed the insurance industry’s first agency management system for Market Access Providers and Agent Networks called Compass.  Compass addresses the workflows and communication needs of Market Access Providers and Agent Networks in ways not previously available.

Harnessing the power of the EZLynx ONE PLATFORM, Compass addresses the three pillars of Market Access Provider success: Carrier Management, Member Management, and Commissions Processing. The system does this by enabling Market Access Providers in two distinctly valuable ways.

First, Compass provides the framework for unprecedented interconnectivity between the Market Access Provider and its member agencies. Second, Compass delivers unprecedented reporting and analytics, providing the means for data-driven decisions and discovering key opportunities to increase their revenue and profitability.

A Note from the CEO

Happy New Year! It looks like 2018 is going to be another good year for our industry. It is our feeling that independent agents have been well positioned in the market for more than a decade now. Our industry’s business model of offering ‘choice of carrier’ to consumers is both internet and millennial friendly. We believe our industry will continue to gain market share because of this one single factor.

I want to thank our customers who have supported our products through the years and our many new customers who joined us in 2017. Outlining the roadmap at the beginning of the year is a tradition that we started many years ago, and it seems the competition has followed our lead – I have seen several other management and rating system vendor CEOs do the same. It is inspiring to see the impact that our vision and strategic thinking has had on our industry, especially with our competition!

2017 has been another banner year for us as we once again expanded our market share. We are looking forward to another great year. As long as we continue to work towards your best interests, we will all win.

Agency profitability, productivity, and serviceability were the key focus areas in 2017. In the spirit of productivity and serviceability we enhanced our management system product throughout the year. Many of these enhancements were in direct response to your feedback. We introduced several new and exciting features in 2017, including claim downloads, policy change requests, enhanced reporting & analytics, and postal mail integration.  Claim downloads and the policy change request feature directly affect how you service your customers. I am particularly proud of my team’s effort with the policy change request feature, which allows the agent to capture all the necessary information and submit it to the carrier for finalization in a single workflow. As part of this workflow you can highlight and submit only the parts of the policy that will be changed to avoid any mistakes. This feature is priceless when it comes to change management with commercial policies where any mistake can be costly.

Our new postal mail integration is another one of my favorite features released last year. Agents are already using it heavily to mail important policy documents, policy notifications, welcome letters, and other documents to their policy holders or prospects with a few clicks of a button. It’s a great productivity enhancing feature that can save time and money.

We made several big enhancements to other areas of our product including reporting, policy accounting, agency workspace, and more. You can view our past release notes for more details on these features.

One of the big promises I made in 2017 was to focus on agency automation. We delivered a beta version of this feature in the second half of 2017. EZLynx Automation Center lets you define rules to perform certain actions based on policy events. In its first iteration, we limited the support to a handful of pre-defined events with simple email and task related actions. We have received excellent feedback from our beta participants, and we are excited to unveil some exciting new enhancements at our AgentLynx User Conference in March. It is our intention to robustly expand this feature with support for more events, actions, and more complex, condition-based workflows. EZLynx Automation Center will soon become the glue that integrates all our products and features together and drastically improves your productivity in incredible ways.

Roadmap for 2018

Our AgentLynx User Conference will be in San Diego this year on March 12 – 14. I strongly urge all of our customers to attend this exciting event if you are serious about building your agency around EZLynx. I promise you this is not about sales or marketing, but about technology, insurance, and maximizing your potential as independent agents. We will be introducing several new and cool products this year that my team has been working on for months now. You will also be able to speak directly with our Executive Team, Product Managers, Business Analysts, and select staff from our Product Support and Training Teams. The conference is just a few months away, so don’t wait to reserve your spot!

As for the rest of the year, we have a busy schedule ahead of us. We will continue to enhance our policy management system to round out more of our commercial features. One feature that I am excited about is Policy Transaction Editing. As most of you know, the dataset that we get from carriers through the download is inconsistent and sometimes wrong. Using this feature, you can control how you manage these inconsistencies by using a set of ‘crowd’ or user defined rules. Our goal is to reduce errors and also to make the download processing and matching effortless.

This year we will also officially release Automation Center, as well as expand it to include integration with our products like Sales Center, Retention Center, Policy Accounting, and more. It is our goal to let agents automate the daily important, but mundane, tasks that a computer can easily perform.

We have several new “secret” features for 2018 that we are excited to reveal at our AgentLynx User Conference, including our plans to refresh the look and feel of EZLynx with a new, modern interface. I want to end this note leaving you with the same impression as I always do – that EZLynx is dedicated to making you successful. We are constantly working on your behalf and watching out for market changes to make sure you are covered. We’ve got your back.

What’s New in EZLynx 4.17.12

The latest software release will be rolling out soon, and we’re pleased to preview just a few of the exciting features heading your way. Let’s take a quick look at some of the new beta releases for Policy Change Request, Rewritten Policy Enhancements, and EZLynx Sales Center 2.0!

Policy Change Request

The highly anticipated Policy Change Request feature was previously available for a limited beta group. This feature simplifies the change request workflow for agents, installing an added layer of assurance to the process.

Policy Change Request provides a start-to-finish process for efficiently initiating, requesting, monitoring and verifying policy changes. Utilize the familiar EZLynx workspace to closely manage policy changes, with particular attention paid to the quality of service being provided to insureds, the level of communication within your agency, and the accuracy of carrier submissions and responses.

With this latest release, Policy Change Request will be available for these lines of business: Personal Auto, Commercial Auto, Commercial General Liability, Business Owners Policy, Commercial Property, Workers Compensation, Homeowners, Dwelling Fire, Commercial Umbrella, Garage and Dealers, Professional Liability, Directors & Officers, Errors & Omissions, Commercial Crime, Farm Owners.

Rewritten Policy Enhancements

Rewritten Policy Enhancements now grant you greater control over your agency’s book of business. When you remarket your clients’ business, sometimes what is new business to a carrier is really existing business to you and your agency. Situations like this can cause issues with commissions in your agency.

With these new enhancements, rewritten policies can now be accounted for in a way that provides a more accurate book of business and improved commission tracking.

We have also added new functionality to the Policy Transactions page to help identify potential rewrite transactions. When a policy transaction is matched to an applicant, the system looks to see if the downloaded policy is a potential rewrite. You then have the option to confirm whether it is a rewrite or not.

This release marks sweeping enhancements to EZLynx Sales Center. The Sales Center 2.0 user interface provides an even clearer view of the opportunities in your pipeline, as well as a redesigned detail view for each opportunity.

We have also added amazing functionality designed to streamline your workflows in Sales Center. Intuitively manage your opportunities with enhanced priority, focus and profitability.

But wait, there’s more to come! This is the first of two Sales Center 2.0 releases. Each of them greatly improves your experience with our pipeline management system.

Is Your Agency Management System Secure?

Your data is important. Consider how frustrating it is to hear about yet another security breach where your personal information may have been among the data that was leaked. We all expect the services we use to be proactive about keeping our information secure, but did you also consider that your own clients have that very same expectation of you, their agent?

While EZLynx continues to aggressively ensure our system is secure, in the end all it takes is a simple username and password for someone (hopefully you) to access all of your client data in our system.

That is why multi-factor authentication is so important, and that is why we are encouraging you to enable this feature on your account.

What does this mean?

You may have heard of this before, and you likely have already experienced it at your banking website. To put it simply, multi-factor (or two-factor, two-step, etc.) authentication ensures that just because someone has your password, they still cannot access your account until they complete another step to prove their identity.  They must also have access to a second means of authentication, usually in the form of your physical mobile phone, which most likely is never far away from your hand!

How do I turn it on?

It’s very simple and will only take you a couple of minutes.  First, the administrator at your agency will need to log into their EZLynx account, hover over the Settings menu, then choose the Agency Admin link.  From this page, click on the Security Settings tab and choose from the available Two-Step Verification options for your agency.

Once this is done, as each user at your agency logs into their EZLynx account, they will be guided through a quick set up process to enable the feature for their individual account.

We suggest that users choose the mobile phone verification option primarily, but if they also enable the email option, be sure that your users each use a different password for their email account than the one used for their EZLynx account.

The State of Data Security

If you’re an independent insurance agent, your consumer data may be at risk. Data security has changed, and agencies utilizing in-house management systems have become increasingly exposed to exploitation, information loss, and damages. Physical, on-location information storage and hosting methods are placing agents at risk, and your stored information, while seemingly protected, is less secure than you may think.

Data security has become a critical problem for many companies. Between 2005 and 2015, over 800 million records have been stolen as a result of a data breach according to the Identify Theft Resource Center. Current reports reveal that 2016 again shattered all previous records for individual data breach incidents—exposing vital corporate and user information on an epic scale. All indications point to 2017 ending as another record-breaking year as well.

Modern independent insurance agents are particularly at risk. Think about all the consumer information that you have in your system. Insurance agents store names, addresses, birth dates, social security numbers, email addresses, credit card numbers, and more.

While large insurance carriers and agencies have the budgets to maintain comprehensive protection, smaller independent agents are at the greatest risk because they often lack the resources to adequately secure the data that they maintain. A single data breach can damage a well-established insurance agency, harming your valued customers and your reputation in the process. Unfortunately, most insurance agents lack the technical expertise needed to fully prepare for every possible contingency, not to mention the financial resources required to adequately respond to a breach.

Protecting the Home Front

Power outages, fire, vandalism, flooding, and mishandled information all compromise data. User exploitation and malicious activity knows no bounds, leaving a small business’s data at risk. Consider this: Your servers are stolen. You’ve located malware. An employee has corrupted vital data. How will you respond? More importantly, how will you answer irreversible damages?

Companies guarding data must hop through numerous hoops to ensure competent protection. The work involved includes internet monitoring, access allowances, firewalls, encryption, anti-malware services, hacking prevention seminars, staff training, data security enforcement, premises security monitoring, risk assessment, and more. Automate Actions based on Policy Download Events

The initial release of Automation Center will focus on letting you configure automation rules for pre-defined policy events in your system.

For example, if you have a policy cancellation, you might want the system to automatically create a task for you or another agent to take a look. Likewise, when you sell a policy to a new customer, you might want to automatically schedule a ‘Welcome to the Agency’ email campaign for the new client.

You will be able to manage your automation rules from a central dashboard, allowing you to enable, pause, or remove rules, as well as add new rules from our template library, which will contain rules for new policies, policy changes, cancellations, and more.

Customizable Dashboards

Our customizable Dashboard, first revealed at our AgentLynx User Conference, is coming soon! To access your Dashboard, hover over the reporting icon in the left-hand navigation and click the “My Dashboard” link at the top of the sidebar.

The Dashboard has a library of 200+ “panels” that we have already created for you! You can add these panels to your dashboard at the click of a button, then rearrange these, add tabs, if you can dream it, you can do it! You can even create your own panels using our Master Reports.

To create your own, custom, dashboard panels, simply navigate to any Master report, create your custom chart or summary table and click the Dashboard icon to add the panel to your Dashboard. This will make it available in your panel library and will also add it to the top left corner of your Dashboard. You can download our Dashboard Guide here.

Drill Through Capabilities in all Summary Reports

Have you ever taken a look at one of the Summary Reports and wanted to see more details? With our new Drill Through Reporting, available with our Advanced and Enterprise packages, all you need to do is click in any of the Summary Report charts or tables and more details will pop-up!

For those customers that are enabled for this feature, if I click on one of the bars in the Book of Business Summary report:

How do I know if I have access to Drill Through?

It is hard to tell at first if you have access to Drill Through reporting, so we have added a disclaimer at the top of each Summary Report to let you know if the feature is currently available with a quick link to our Drill Through training document.

If you see the blue bar (above) on any of your summary reports, then you can click on any chart or table to see more details. If you do not see the bar above, contact your sales representative to learn more!

New Master Report Features

We have also added a few new and exciting features to our already power-packed Master Reports. The first is a new “Formulas” tab that will allow users to create their own, formula-generated column in the report.

This feature allows your data guru’s to add almost any SQL command into the formula box. The “Formula Help” link in the top right corner of this tab outlines all of the tools available.

Even more exciting, is the addition of “Crosstabs,” more commonly known as Pivot Tables. These tables allow you to have dynamic data in both the rows and the columns of the report. As you can see in the example below, you can see the number of Quotes by Line of Business and by the Year. Another commonly requested report that could be created this way is to see the number of Quotes by Agent and by Carrier.

Master Report Features

The options are limitless! And as we mentioned before, once this table is set up, you can simply click the Dashboard icon to make this Crosstab table available to add to your custom Dashboard! You can download our Master Reports guide here.

Report Scheduling

Our last, but definitely not least, feature is report Emailing & Scheduling. This long awaited feature will be available soon for select package holders. These users now have the ability to email a report, set a future time to email a report or set up an automatic, reoccurring emailed reports. Simply click the clock icon to see the pop-up below.
